What we collect, who sees it, and how to make us stop.
Effective 2026-10-27
What we collect
When you book a consultation we collect your name, email address, mobile number, the address of the home, whether you own it, who your electric company is, how you'd like to meet (video call, phone call or home visit) and the time you pick. If you send us a utility bill we collect the bill itself, which usually contains your name, your service address, your account number and your electricity use.
While you are booking, the details you type are kept on our website host so the next steps can use them. Your details are also kept in our customer records and, once you pick a time, in the appointment calendar, so your consultant has your name, contact details and home address.
While you book, we use two small cookies: one keeps your place in the booking steps, and the other, which holds nothing about you, checks that your browser accepts cookies. We do not use them for anything else.
If you came to this website from another website, or through a link labelled with where it was posted (such as an ad or an email), we set one more small cookie. For 30 days it remembers the name of that website (for example google.com, never the page you were on), the first page you opened here, those link labels and, if you came from an ad, the name of the ad network (never the ad's own code). If you give us your details, to book a consultation or to ask us to call you back, we keep these with your details, so we can tell which ways of finding us work. If you don't, nothing from the cookie is stored, and it simply runs out. It holds nothing else about you, and we do not use it to follow you to other websites.
We also record technical information that comes with any web form: your IP address, your browser's user agent, and the time you submitted. For a consent to be evidence rather than an assertion, it has to record the circumstances in which it was given.
We also count visits to this website: which pages are viewed, which site or search sent you here, your country, the kind of device and browser you use, and how quickly pages load. The count uses no cookies and does not identify you or follow you to other websites; it tells us which pages are useful and how people find us.
The website chat
If you use the chat on this website, what you type is sent to our AI provider so that it can reply. If you book in the chat, the details on the booking card — your name, email, phone number and the address of the home — go into our customer records and your calendar invite, just as they would from the booking form. If you ask for a call instead, we keep the number you give, your first name if you give it, and a short note of what you would like to talk about and when, so the right person can call you back. We do not keep a transcript of the chat itself.
Why we collect it
To book you a free consultation with a Florida-licensed solar contractor, and so that contractor can prepare for it. Terra Green Solar does not design, size, price or install solar systems; the contractor does. Your electricity use is what a system is sized from, which is why a bill is more useful than an estimate from the size of your house.
Text messages and calls
We do not share or sell mobile opt-in information or consent to any third party for marketing purposes.
If you tick the box consenting to calls and texts, that consent is used by Terra Green Solar to contact you about your own consultation. It is never passed to anyone else so that they can market to you, and it is never sold.
Consent is not a condition of booking a consultation or of buying anything, and you can withdraw it at any time — reply STOP to any text, tell us on a call, or email us. We act on an opt-out within 24 hours. Reply HELP for help. Message frequency varies. Message and data rates may apply.
Emails
We email you about your booking: the calendar invite and a reminder. If you ticked the box agreeing to emails, we may also send a few follow-up emails, for example to offer a new time or to check in after your consultation. To choose which ones fit, we note how things went after your consultation, for example whether it went ahead. Every follow-up email has an unsubscribe link.
Phone calls
An AI assistant answers our calls, and at the start of the call it tells you the call is recorded. We record calls to help us improve our service. Our phone provider records the call, writes a transcript and keeps both for up to 14 days; then they are deleted. Our phone provider also keeps a written copy of each call in its own system logs, which we can't delete.
If you don't want to be recorded, just say so. We stop recording (or end the call if we can't) and delete the recording.
Who else sees your information
We use other companies to run parts of this service. They only receive what they need to do their job, they work under contracts that limit them to working on our behalf, and they are not permitted to use your information for their own purposes or to market to you.
They fall into six groups: companies that host this website, count its visits and store our records, a customer-records system that holds your enquiry and any bill you send us, a calendar provider that holds our appointment diary and sends your invite, messaging and email providers that deliver our texts and emails to you, a phone provider that answers our calls, and an AI provider that writes the replies in our website chat and on our phone line.
We keep a current list of every one of them. If you would like to see it, email us and we will send it to you.
If you finance a purchase, you apply to the lender directly on their own website. We do not collect or hold your income, your date of birth or your social security number — those go to the lender, and their privacy policy governs what they do with them.
How long we keep it
A utility bill you send us is kept with your record in our customer-records system, which stores it encrypted, and is seen by our team and the contractor who prepares your consultation. We hold it for as long as we need it to support your consultation and any system you go ahead with, or as long as the law requires, whichever is longer. Consent records are kept longer than most things on purpose: they are the record of what you agreed to, and deleting them would destroy the evidence that we contacted you lawfully.
Call recordings and their transcripts are deleted within 14 days (apart from our phone provider's system logs).
Your choices
- Stop messages. Reply STOP to any text, or tell us.
- Stop follow-up emails. Use the unsubscribe link in any of them, or reply and ask.
- Ask what we hold. Email us and we will tell you.
- Ask us to delete it. We will, apart from records we are required to keep — and we will tell you specifically which ones those are and why, rather than refusing in general terms.
One thing worth being straight about: some of your information sits with the service providers described above, and for those we can ask on your behalf but cannot delete it ourselves. We will say which is which rather than implying we control everything.
Children
This service is for homeowners. We do not knowingly collect information from anyone under 18.

Changes
If we change this notice we will change the effective date at the top. If a change materially affects how we use information you already gave us, we will tell you rather than relying on you to re-read the page.
